Vialegis is a boutique recruitment firm, part of the House of HR group, exclusively dedicated to Legal, Tax and Compliance professionals. Founded in Belgium in 2003, we also operate in Luxembourg and the Netherlands.

Our client, a private family office, is looking for a Legal Assistant – Spanish-speaker to provide day‑to‑day support to the Legal team and the COO.

This administrative role involves close interaction with banks, service providers, and internal stakeholders, as well as ongoing coordination with the Group’s Spanish subsidiaries. The ideal candidate is highly organised, discreet, and comfortable handling confidential information in a dynamic, international environment.

Key Responsibilities

  • Provide administrative support to the Legal function and the COO
  • Support corporate and administrative matters related to Spanish subsidiaries
  • Assist with corporate secretarial tasks (board documentation, director appointments, RCS and foreign filings)
  • Maintain and organise corporate records and documentation
  • Support KYC and due diligence documentation and respond to bank requests
  • Liaise with external parties (banks, notaries, service providers)
  • Monitor deadlines and provide general administrative support as needed

Profile

  • Minimum 3 years’ experience in a corporate administrative role (family office, fiduciary, corporate services or similar)
  • Fluent English and Spanish, a good command of French would be an asset
  • Experience with corporate documentation and KYC processes
  • Exposure to multi‑jurisdictional environments (Spain is a strong advantage)
  • Highly discreet, reliable, and detail‑oriented
